Position Overview

System High is looking for an experienced and motivated Security Assistant to join our team at the Defense Advanced Research Projects Agency (DARPA). Security Assistants provide administrative security support, including access control to secure areas; processing and distribution of security-related documentation; calendar maintenance; suspense item monitoring; document quality reviews; scheduling of special tasks; and management of supporting databases. They provide administrative support across functional areas to maintain records and files, distribution of mail, reports, and other documents, and the maintenance of suspense date files. They also prepare ad hoc reports, spreadsheets, charts, graphs, and narratives as needed.

Responsibilities


  • Plan, conduct, analyze, evaluate, and report security issues
  • Generate and maintain databases reflecting receipt, storage, inventory, and disposition of information, including data entry, updates, and report generation
  • Conduct audits/inventories to ensure proper control and accountability
  • Assist in the inspection, inventory, logging, storage, and internal distribution of information
  • Maintain and document personnel security programs for all collateral, SAP, and SCI personnel
  • Review and analyze requests for information
  • Assist in the preparation and execution of security directives and security guides
  • Assist in reviewing customer security regulations and procedures and determine methods of implementation
  • Participate in security reviews, incidents investigations and inquiries, and surveys as required
  • Assist with implementing the Security Education Awareness training program
  • Develop security education bulletins, directives, security plans, procedures, and controls as required
  • Prepare and protect security files, records and other information
  • Perform entry, exit, visit processing, and escorting
  • Conduct end-of-day security checks and perform other security administrative functions
  • Conduct indoctrination and debriefings as required
  • Provide day-to-day access control management of supported facilities
  • Coordinate conferences and meetings at local and other supported facilities
  • Perform files management for the office to which assigned
  • Perform calendar management for assigned offices
  • Manage documents and media tasks, including:

    • Document Control Center (DCC) procedures and DCC training
    • Prepare packages and documentation for transmission
    • Receive and account for USPS items, including registered and Express mail
    • Maintain document control/accountability databases
    • Maintain magnetic and optical media and perform inventories/reconciliation
    • Dispose of documents and magnetic media properly
    • Perform document archiving
    • Operate secure Electronic Data Transfer service (EDTS)


  • Conduct self-inspections, identify security discrepancies, and report incidents
  • Protect privacy information
  • Develop and maintain administrative methods and procedures for an office
  • Maintain and follow up on suspense records for correspondence or action items
  • Prepare a wide variety of correspondence, reports and other documents
  • Establish, update, and develop inclusive administrative procedures and methods
  • Gather information, verify facts, and assemble materials for executive level meetings
  • Establish and manage workflow staffing process
  • Assist with new employee processing and indoctrinations to respective SID offices
  • Support the coordination of executive correspondence/products to resolve issues and obtain concurrences for planned actions
  • Make recommendations for process improvements
  • Other duties as assigned



Qualifications

Required Skills (Knowledge, Skills, Abilities)

  • Knowledge of DoD and DARPA policy and guidance preferred
  • Knowledge of Specialist Access Programs (SAP)
  • Ability to handle difficult and demanding customers to mutually resolve issues
  • Anticipate customer needs to provide a high level of service
  • Develop highly effective relationships with customers at all levels
  • Foster a broad network of diverse stakeholders to share ideas/resources and create synergies
  • Excellent interpersonal skills and computer literacy
  • Strong analytical and problem-solving skills
  • Superior verbal and written communication and presentation skills
  • Ability to work with limited supervision


Clearance

  • Minimum of active Top Secret (TS)
  • TS/SCI strongly desired
  • Subject to random counter-intelligence scope polygraph as a condition of access eligibility


Years of Experience/Education Requirements

  • Three+ years of experience in the field
