The Medical Support Assistant is in the VA Tele-Critical Care System West at the Minneapolis VA Medical Center OR Hines, IL VA Medical Center. There is two vacant positions in either location. Functions under the guidance of the Nurse Manager/Assistant Nurse Manager. Tele-Critical Care (TCC) provides remote monitoring, consultation, and co-management of patients with critical illness in Intensive Care Units.

Major Duties include, not limited:

  • The MSA provides specialized and expert administrative patient support while working collaboratively in an interdisciplinary coordinated care delivery model. Work involves specialized administrative judgment and the flexible use of a wide range of clinical flow processes relating to access to care across multiple sites and specialties.
  • Tele-Critical Care (TCC) provides remote monitoring, consultation, and co-management of patients with critical illness in Intensive Care Units.
  • Services provided are 24 hours per day and 7 days per week. Currently, the VA Tele-Critical Care System West monitors all critical care beds within VISN 23, VISN 15 and has expanded to include DOD sites and several other VHA sites across the nation.
  • The incumbent performs duties related to administrative duties, works in collaboration with the nurses and physicians in support center by answering phones, some data collection and retrieval, working on multiple technical platforms and computer interfaces within the VA and DOD, and working with other MSA's at different VA's.
  • Expertise in utilizing numerous advanced patient systems in support of multiple sites involved in an interdisciplinary coordinated care delivery model.
  • MSA is responsible for receptionist duties, customer service, managing of supplies and other duties assigned for proper timely treatment of patients.
  • Works on multiple technical platforms: such as CPRS, JL V, Vista, eCare manager, outlook, windows. They are responsible for admissions into eCare, entering patient data into eCare manager, updating the discharge list in eCare manager, transfers and discharges in eCare.
  • Will help troubleshoot technical equipment, JL V training, Impacts and use the camera function in eCare manager.
  • The employee independently manages responsibilities with little supervision as well as set priorities and deadlines adjusting the flow and sequencing of work to meet the team and patient needs.

Qualifications

Basic Requirements :
  • United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy.
  • Experience and Education.

    • Experience. Six months experience of clerical, office, customer service, or other administrative work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR,
    • Education. One year above high school; OR,
    • Experience/Education Combination. Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable.
  • Foreign Education. To be creditable, education completed outside the U.S. must have been submitted to a private organization that specializes in the interpretation of foreign educational credentials and such education must have been deemed at least equivalent to that gained in conventional U.S. programs.
  • English Language Proficiency. MSAs must be proficient in spoken and written English in accordance with VA Handbook 5005, Part II, Chapter 3, Section A, paragraph 3.j.
May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria).

Grade Determinations :

Grade Determination GS-3 MSA (Entry Level).
  • You must meet the Basic Requirements outlined above (Experience and/or Education). In addition you must be able to demonstrate all of the Knowledge, Skills, and Abilities (KSAs) listed below.
  • Demonstrated Knowledge, Skills, and Abilities

    • Ability to meet, communicate, and interact with individuals in a courteous and helpful manner in order to give instructions and arrange appointments.
    • Ability to utilize computer systems to enter administrative data in patient systems.
    • Ability to learn and utilize basic medical terminology to record patient messages and physician requests pertaining to follow-up medical care.
Grade Determination GS-4 MSA (Developmental Level)
  • Experience: One year of experience in clerical, office, customer service, or other administrative work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position. Examples of experience include but are not necessarily limited to: Meet, communicate, and interact with individuals in a courteous and helpful manner in order to give instructions and arrange appointments, Utilize computer systems to enter administrative data in patient systems, Learn and utilize basic medical terminology to record patient messages and physician requests pertaining to follow-up medical care OR
  • Education: Two years above high school. AND
  • Demonstrated Knowledge, Skills, and Abilities. In addition to Basic Requirements and the experience listed above, candidates must be able to demonstrate all of the KSAs below:

    • Ability to meet, communicate, and interact with individuals from varying backgrounds and other health care team members in a courteous and helpful manner in order to facilitate medical care for patients.
    • Ability to use, and navigate between, various types of office automation equipment and software (i.e. computer systems, web based scheduling programs; insurance collection system; scanning software, multiple line phone systems; electronic faxing programs) to support patient care.
    • Knowledge of basic medical terminology to assist in the provision of care to patients.
    • Skill in recording patient messages and understanding physician requests pertaining to follow-up medical care in internal or external clinics.
Grade Determination GS-5 MSA (Full Performance Level)
  • Experience: One year of experience equivalent to the GS-4 grade level. Examples of experience would include but not be limited to; Meet, communicate, and interact with individuals from varying backgrounds and other health care team members in a courteous and helpful manner in order to facilitate medical care for patients, Use and navigate between, various types of office automation equipment and software (i.e. computer systems, web based scheduling programs; insurance collection system; scanning software, multiple line phone systems; electronic faxing programs) to support patient care, Knowledge of basic medical terminology to assist in the provision of care to patients, Recording patient messages and understanding physician requests pertaining to follow-up medical care in internal or external clinics.     • Ability to operate computerized programs and systems in order to enter, modify, and retrieve sensitive medical and patient identifying information (PII) into or from electronic health records, scheduling systems, and/or reports.
    • Advanced knowledge of medical terminology specific to understand medical diagnosis and procedures sufficient to communicate clinical staff instructions to patients.
    • Ability to schedule medical appointments in a clinical setting.
    • Ability to work independently in the accomplishment of a wide variety of duties performing patient support work.
    • Ability to communicate effectively and professionally in person, electronically, and/or by telephone, with internal and external customers.
    • Skill in customer service with the ability to identify customer concerns, and refer to the appropriate staff as necessary, to ensure a satisfactory resolution.

The full performance level of this vacancy is GS-05. The actual grade at which an applicant may be selected for this vacancy is in the range of GS-03 to GS-05.
