Job Description

Robert Olson + Associates, provides a full range of planning, programming, and architecture services. Our clients include universities, independent schools, religious institutions, healthcare providers, and private clubs, as well as private residences. We seek an experienced office manager/bookkeeper to manage day to day operations, participate in project and document administration, and perform all bookkeeping functions. Experience with architecture or engineering firms is a plus.

Responsibilities:

  • Perform all bookkeeping functions and maintain general ledger via QuickBooks Online
  • Work with outside accountants, financial advisor, and retirement plan consultant
  • Perform bi-weekly payroll and retirement plan bookkeeping/administration
  • Process Principal and Staff timesheets for Client invoices
  • Perform Client billing and accounts receivable functions, and interact with Clients
  • Pay vendor bills and manage accounts payable
  • Reconcile bank statements
  • Perform clerical duties such as filing, scanning, copying, database entry, record keeping
  • Manage insurance policies and renewals and interface with insurance agents
  • Assist Principal with proposals and specification assembly
  • Manage contract software
  • Maintain professional state licenses and renewals
  • Perform routine federal, state and local reports
  • Manage supplies inventory and physical office space
  • Monitor office technology and coordinate with IT consultant as needed in all-Mac environment
  • Assist with hiring and new personnel onboarding

Qualifications:

  • Bookkeeping: 3 years
  • QuickBooks Online: 3 years
  • Microsoft Office: 3 years
  • BS degree in Finance, Accounting or Business Administration a plus

Experience:

  • Must have at least 3 years of full-time bookkeeping experience with responsibilities that include client billing in a professional service firm setting.
  • Must have solid understanding of basic bookkeeping and accounts payable/receivable principles.
  • Experience with QuickBooks Online is required.
  • High proficiency in Microsoft Office (MS Word, MS Excel) is required.
  • Prior experience in a professional service firm is desirable.
  • Must be detail-oriented and highly organized.
  • Must have excellent verbal and written communication skills.
