POSITION SUMMARY The Human Resources Assistant will perform administrative tasks and services to support the effective and efficient operations of the organization's Human Resources department. Serves in an employee-focused role that provides initial, responsive support to employees; the face of the Human Resources (HR) department handles routine inquiries and guides employees seeking transactional support. Responsible for ensuring professional administrative support to the HR Team with the ability to communicate with multiple levels of leadership and utilize resources and tools effectively to complete assigned tasks. Also provides support to the HR team and business leaders in collecting, compiling, and coordinating data and information.
KEY RESPONSIBILITIES/ESSENTIAL FUNCTIONS INCLUDE: KEY RESPONSIBILITIES/ESSENTIAL FUNCTIONS INCLUDE: - Serves as the first contract regarding HR questions, Redirecting HR-related calls or distributing correspondence to the appropriate professional on the HR team.
- Implement HR strategies under the direction of the HR leadership team.
- Create and maintain employee HR and Medical files, ensuring all files are complete and compliant.
- Responsible for annual background checks for all Patient Care Envision employees and, at the beginning of the fiscal year, will run motor vehicle background on BSC drivers.
- Administrative support to the Employee Advisory Group (EAG).
- Schedule meetings on behalf of the HR team and ensure that all meetings are ready and available for all staff members.
- Assist in acclimating new and prospective employees to the community and organization during the work trial and onboarding processes. This includes scheduling travel, The Arnold Group, picking them up from the airport, running the work trials around the day they arrive, and helping get them back to the airport.
- Provide backup support coverage for the receptionist for lunch, breaks, time off, etc.
- Assist with additional projects and initiatives and support HR leadership team members as assigned.
- Flexibility to perform other duties as assigned.
Qualifications JOB REQUIREMENTS INCLUDE Education: Associate degree in Human Resources Management, or equivalent experience in lieu of degree required; High school diploma or GED equivalent required; non-profit experience preferred.
Experience: Proven experience as a human resources assistant or relevant human resources and/or in a prior related administrative position. Minimum of 2-4 years prior experience in Human Resources as an HR Coordinator or relevant human resources.
Knowledge/Skills: - Must demonstrate a commitment to service, organization values and professionalism through appropriate conduct and demeanor.
- Strong ability to work with all levels of employees, to include Executive Leadership.
- Strong problem solving, critical thinking and customer service skills.
- Ability to initiate process improvements and manage multiple tasks.
- Excellent organizational skills and attention to detail.
- Effective time management skills in order to meet deadlines.
- Maintain a high level of attention to detail and accuracy to ensure data integrity.
- Proficient with or the ability to quickly learn payroll management, human resources information system (HRIS), and similar applications.
- Highly proficient with Microsoft Office Suite or related software.
- Excellent verbal and written communication skills.
- Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
- Must possess the ability to:
- Work in a team-oriented and collaborative environment. Must be able to work in a fast-paced environment, under pressure, with a sense of urgency.
- Manage multiple conflicting priorities and deadlines.
- Handle data with confidentiality.
Licenses/Certifications: PHR or SHRM-CP preferred.
