Position Summary

Join a fast-moving, global aviation company as the Executive Assistant to the CEO and COO. This role supports top leadership with calendar management, travel coordination, confidential communications, and high-impact administrative support. Ideal for someone who thrives in a fast-paced environment, anticipates needs before they hit the radar, and brings polish, judgment, and strong organizational skills to the table.

 

Key Responsibilities

  • Manage complex calendars, meetings, and executive schedules
  • Coordinate detailed domestic/international travel and prepare meeting materials
  • Draft, edit, and manage confidential correspondence and reports
  • Handle expense reports and maintain organized executive files
  • Screen calls, visitors, and communications for the executive office
  • Support senior leadership meetings, off-sites, and company functions
  • Maintain relationships with key internal/external contacts
  • Assist with Board of Directors support and confidential documentation
  • Drive special projects and deliverables from planning through completion

 

Education & Experience

  • Bachelor’s degree
  • 3+ years supporting C-suite executives
  • High professionalism, discretion, and accountability
  • Strong written and verbal communication
  • Excellent multitasking and prioritization skills
  • Advanced Microsoft Office skills; tech-savvy with mobile tools
  • Able to operate independently with minimal supervision
