Job Description

Our client, an investment office in Boston, MA, is seeking an Executive Assistant to join their team! This is a temp-to-perm opportunity and is compensating up to $36/ hour depending on experience. The schedule is Monday to Friday 8:30am-6pm. Interested and qualified candidates are encouraged to apply!

Responsibilities

• Process and manage invoices accurately and efficiently.
• Prepare and assist with payment processing and invoice management.
• Support investor relations activities related to deal processes, including occasional communication and coordination with investors.
• Work with travel agencies to arrange and manage travel logistics for the team.
• Provide administrative support to the executive teams
• Assist with communication with global offices, ensuring smooth and professional interactions.
• Answer phones. Respond to inquiries by providing necessary assistance or referring visitors and callers to appropriate employees.

Requirements

• College degree.
• Experience in administrative work is required, 3+ years (ideally are looking for 10+)
• Experience in a working in a fast-paced environment such as investment banking or law firms is required.
• Experience in handling invoices, working with travel agencies, and supporting communication for investor relations.
• Technical Skills: Proficiency in Microsoft Office Suite and other relevant software.

Knowledge and Skills

• High proficiency in computer applications is required, especially Microsoft Word, Excel, and Outlook.
• Communication: Excellent written and verbal communication skills.
• Detail-Oriented: Strong attention to detail and ability to manage multiple tasks effectively.
