Job Description
Working independently, under the supervision of the Helena Rubinstein Chair of Education and in partnership with the Department Directors, the
Education Department Assistant oversees the Department's scheduling needs, shared budgets, data gathering and helps streamline communication within the Department, and cross-departmentally. They assist with special projects and initiatives and play a critical role in innovation.
Responsibilities: - Processing & tracking invoices
- Reconciling expenses
- Creating, submitting, and tracking exhibition budget proposals
- Supports division directors and coordinators with the management of program budgets
- Leading re-projections throughout the year
- Liaises with the Accounting Department to ensure accuracy of the department's finances
- Assists in managing and prioritizing the Chair of Education's calendar, booking travel, reconciling expenses.
- Maintains and communicated department organizational systems, procedures, and protocols.
- Organizes department meetings, including creating agendas, inviting guest speakers, and coordinating presentations.
- Coordinates and schedules professional development opportunities for the department.
- Supports Chair of Education and Director of Social Impact and Leaning with cross-departmental and cross-institutional projects and plays a critical role in the innovation process.
- With Chair of Education assists with planning and cultivation efforts for the Education Committee in conjunction with the Advancement Department.
- Works with colleagues in the Education Department and across the Museum (Advancement, Visitor Services, Membership, etc.) to document and track the annual activities of the Department, including weekly statistics, reporting to funders, and an annual report.
- In partnership with directors and coordinators, prepares presentations to showcase the departments' accomplishments.
Requirements: - B.A. In Arts Administration, Business Management, or related field.
- 1-3 years of experience working in a cultural organization or non-profit management is preferred.
- Proficient with Microsoft Office Suite and Google Suite.
- Financial and budgeting acumen is required.
- Knowledge of Concur, HRIS software, Asana, or other project management tools is a plus.
- Bilingual team player with abilities to motivate and work cooperatively and effectively with Museum staff.
- Concise communication skills, both verbal and written in English and Spanish.
- A self-starter with the ability to operate with purpose, urgency, and accuracy.
- Exceptional time management, project management, and excellent organizational skills.
- Proficiency in balancing budgets and expenses.
- Detail-oriented with the ability to prioritize, manage, and multitask; coordinate complex schedules; and analyze and solve problems.
- Professional demeanor and ability to interact with all levels within the organization and external vendors.
- Ability to exhibit discretion and handle confidential information appropriately.
Compensation & Benefits: - Hourly rate of $30.00
