Posting Details Position Information Posting Number S000837 Position Title Campus Postal and Printing Services Assistant Department Business Operations Division Facilities Planning and Operations Supervisor Title Campus Postal and Print Services Supervisor Status Part Time Special Position Summary To assist the Campus Postal and Print Services Supervisor in ensuring that incoming and outgoing mail, both routine and bulk, are efficiently processed on a daily basis. Support the campus through the processing of large volume of copy jobs of College materials such as copies, binding, laminating and poster making. Description of Key Responsibilities 1. Conduct the campus wide daily pick-up and delivery of postage and packages, utilizing a Campus vehicle, driving frequently. 2. Process routine/daily, incoming/outgoing mail. Sort mail received, determine weight of each piece and operate postage meter to affix proper postage. When appropriate, prepare mail to be sent under special conditions, such as registered and certified mail. Record value of postage used by various organizational units. Package and deliver to Post Office. 3. Process and presort all special mailings, including bulk mail. Complete the appropriate United States Postal Service (USPS) forms, including computation of postage which is dependent on size, weight and automation-compatibility. For bulk mail that has not been printed with a permit, imprint (indicia), operate postage meter to affix proper postage. Package, including attachment of form, and deliver mail to Post Office. 4. Prepare packages and documents which are to be shipped via alternate delivery services, such as UPS, Federal Express, etc. Complete appropriate forms, including determining charges, and preparing items for pick up. 5. Maintain accurate records for charging back mailing and alternate delivery service costs to departments and other organizational units. Periodically compile and verify these charges and forward this information to the Business Office. 6. Periodically see that postage meters are replenished with credits; obtain credits from USPS for errors made on postage meters and for prepaid return envelopes on which the sender has affixed a stamp. 7. Runs high volume copy machines and performs binding and finishing work. 8. Ensures convenience copiers are working properly, checking for quality via daily inspections. Clears paper jams and informs technicians of specific problems. 9. Calculates charges for jobs performed and maintains some billing logs. 10. May perform filing duties in conjunction with specific customer requests. 11. Delivers completed jobs to pre-determined customer locations. 12. Maintains daily meter and service logs. 13. Answers customer questions regarding status or feasibility of job requests. 14. Ensures upkeep of convenience copier areas by keeping neat and well stocked. 15. Performs duties related to the shipping of materials. 16. Performs filing duties, which may include 'purging' and archiving old documents. 17. Performs other duties as assigned. MARGINAL FUNCTIONS Assist in the Print Shop. Required Knowledge, Skills and Abilities # Current knowledge of postal rates and regulations, and procedures used by alternate delivery services. The ability to apply this knowledge in order to determine the lowest possible charges, consistent with necessary timeliness and verification of delivery (i.e., registered and certified mail). # Must be well organized, detail oriented, flexible and able to effectively prioritize heavy workloads and to perform tasks with minimal supervision. # Ability to utilize technology in a work place environment. Must be able to utilize Microsoft Word, Power Point, Excel, e-mail systems, on-line personnel management systems and mail management technologies. # Ability to utilize mathematical skills necessary for determining postage charges, which are based on several variables, and for maintaining detailed records and compiling, summarizing and verifying data in order that accurate charges can be assessed to users. # The ability to safely and efficiently operate and service equipment, primarily postage meters, paper cutter, hole driller, bindery equipment, jogger, tape machine, stackers, electric stapler, decal cutter/printer and scales in completion of various jobs. # The ability to move packages, mail sacks, trays and other materials, which may weigh up to 50 pounds, within the mailroom, including lifting packages in order to place them in bins. # Uses all copier equipment, calculator, fax machine, postage meter and some PC. # The ability to positively and effectively communicate in the English language, both verbally and in writing, with a variety of individuals both internal and external to the college, at times under the pressure of rapidly changing priorities and critically important deadlines. # The ability to learn about, and work so as to contribute positively to the College's organization, operation, philosophy, and culture. Distinguishing Characteristics The efficiency with which outgoing mail is processed directly affects virtually all College operations. In particular, the handling of time-sensitive material, such as bulk mailings which announce an upcoming event, can be critically important. Provides operations function in one or all of the following areas: operates high volume duplicating equipment, performs associated copying tasks, ships and receives product and supplies, sorts, distributes and handles incoming and outgoing mail/faxes, as well as applies necessary postage. It is essential, therefore, that the individual in this position be capable of consistently performing at a high level of efficiency. It is also important that this person be able to interact positively with members of the campus community and be an effective representative of the College when dealing with others, such as postal service employees, at times under stressful conditions due to critically important deadlines. This position entails a considerable amount of record keeping and organization of data which impacts the integrity of the College's accounting system regarding the charging of organizational units for postage costs. Education/Training A high school diploma is required. Experience A minimum of two years' experience in a computerized office environment, especially word-processing, database management and spreadsheets, particularly where detailed recording and compilation of data is preferred. Experience working with postal regulations would be extremely helpful. Licenses or Certifications Valid driver's license and acceptable driving record is required. Is This a Temporary Position?
