About the Role:

We are seeking a highly organized and detail-oriented Administrative Office Assistant to join our team at Columbia Plant. The successful candidate will be responsible for providing administrative support to ensure efficient operation of the office. The primary purpose of this is to provide exceptional support to production, sales department, and other office functions. Effectively providing information, running reports, answering phone and questions, and other administrative duties as needed. The major end result of this job position is to ensure that the office runs smoothly and efficiently, with all administrative tasks completed accurately and in a timely manner. The ideal candidate will be able to work independently, prioritize tasks, and manage their time effectively. As this is a front line internal and external service position, pleasant and helpful professional demeanor is critical.

Minimum Qualifications:
  • High school diploma or equivalent
  • 2+ years of experience in an administrative support role
  • Proficient in Microsoft Office Suite
  • Excellent communication and interpersonal skills
  • Ability to multitask and prioritize tasks effectively
Preferred Qualifications:
  • Decision making accountability: daily prioritization of routine work.
  • Experience in a manufacturing or industrial environment
  • Experience with SAP or other enterprise software
  • Strong attention to detail and accuracy
  • Ability to work independently and as part of a team
Responsibilities:
  • Performing general office duties, such as answering phones, responding to emails, and filing paperwork
  • Greeting visitors, vendors, and guests.
  • Data entry, customer orders, and processing soil. Input or check daily linen orders. Verifying daily packets and adjusting corrections. Processing changes to customer orders.
  • Apply credits to customer account.
  • Assisting in the preparation of reports, presentations, and data
  • Maintaining accurate records.
  • Follow office procedures, guidelines, and projects as directed by the Corporate Office.
  • Assisting with special projects and events as needed
Work condition:
  • Typically of an office environment. Occasionally working on plant floor or shipping area.
  • Frequent standing and walking during working hours.
  • Frequent sitting, bending, and stooping.
  • May sit at computer for extended periods of time.
Skills:

As an Administrative Office Assistant, you will be using your excellent communication and interpersonal skills to interact with staff and clients. You will also be utilizing your proficiency in Microsoft Office Suite to complete administrative tasks such as preparing reports and presentations. Your ability to multitask and prioritize tasks effectively will be essential in ensuring that all administrative tasks are completed accurately and in a timely manner. Additionally, your strong attention to detail and accuracy will be crucial in maintaining accurate records and databases. Finally, your ability to work independently and as part of a team will be important in assisting with special projects and events as needed.
